site liaison roles and responsibilities

 

PRE SEASON
- Must have email for communication
- Assist in the recruitment of coaches (three per team) and substitute coaches (two per team) for the site (For new program sites)
-  Complete site application; gain approval of principal (or director of community agency) in support of hosting GOTR®
- Secure practice space for GOTR® for 1 hour and 15 minutes two days per week for each team
           - Indoor rain location (preferably consistent throughout the season)
           - Outdoor space (preferably somewhat separate from other after school activities)
- If you would like to hold practice at a nearby park, please check with the principal first and then
add an extra 15 minutes to your program time to allow for walking time to and from the park
-  Identify storage space for GOTR® supplies (snacks, coach box/supplies, water bottles etc.)
-  Work with GOTR®  office to figure out schedule by providing important dates that school is not in session (parent/teacher conferences, holidays, minimum days, furlough days etc.). You need to update GOTR®  office of changes throughout the season. 
- Attend pre season orientation

 

RECRUITMENT
- Distribute registration materials and flyers to third through fifth grade girls and teachers. Must be willing to go on campus to promote in classrooms and lunchroom etc.
- Collect registration forms and payment, review for accuracy and complete check-list to verify
completion of information on registration forms; follow-up with families if necessary.
- Ensure that a minimum of 10 girls sign up for the program, the maximum number of girls per group is 16. Notify the Girls on the Run Operations Manager early if you need assistance with girl recruitment. We can help with an onsite visit for more active recruitment techniques.
- Liaison should be going out of their way to make sure that the program fills up.

 

ONGOING
- Provide GOTR® staff with team rosters and mail in all completed registration forms and payment to the Girls on the Run office on the first Friday after the first week of practice
-  Assist with collecting payment. We will only give program t-shirts to girls with all of their information returned and payment collected.
- Provide ongoing communication and feedback to GOTR® organization
- GOTR® staff will send communication via newsletters and reminder emails to liaisons. Please read, check and respond when necessary.
- Update GOTR® office of any changes to the schedule throughout the season.
- It is up to the GOTR® office to determine weather to move the start of the season or cancel any practices; please consult the office before acting on these.   
- Inform the Operations Manager of any participant cancellations from the program.
- Maintain regular communication with coaches regarding program and facility, school closure dates, early dismissals or any behavioral issues.
- At challenging schools, the site liaison need to make themselves available to assist coaches with behavioral issues.
- Identify language barriers; notify coordinator when assistance is needed
- Attend at least one on-site GOTR® practice to ensure things are running smoothly, and that girls and coaches are having fun
- Assist coaches in identifying and reserving space for end of season party on the last session
- *If not on-site, please designate a day-to-day contact (i.e., a school secretary)

 

PREPARATION FOR LOLLIPOP EVENT
- Help distribute flyers around the site/school to help promote the Lollipop 5k Run. Drum up interest with teachers, parents and other students to participate in the Lollipop 5k Run.
- Help create camaraderie and excitement at the school or site around the Lollipop Event. Speak to PTA, staff meeting and all school assemblies about the race and encourage everyone to participate.
- Assist coaches to ensure that each girl gets to the Lollipop 5k Run at the end of the season; help arrange car pools with parents if needed
- Assist in finding Running Buddies to participate with girls in the race.
